Events & Sponsorship Coordinator: Part Time/Casual


The Events & Sponsorship Coordinator is a dynamic part-time role where you'll help spread the word about all the exciting things happening at Sunbury Basketball. You'll be based in our Sunbury office but will also get to be right in the action at games and events, telling the stories of the incredible people who make up our community—from players and coaches to volunteers and referees. This role is perfect for someone who loves a mix of creative office work and getting out and about. Flexibility is key, so if you’re ready to dive into the world of sports with energy and enthusiasm, this role is for you!



Collaborating closely with other departments to help showcase our programs, events and competitions, this role will lead initiatives to drive connection and engagement with our various audiences and to lead our Association into the future.


Key Responsibilities

  • Identify and secure new sponsorships and marketing opportunities at both local and regional levels. 

  • Cultivate and maintain relationships with Sponsorship partners and other key stakeholders including success tracking, documenting the results of sponsorships through measurable outcomes like increased sales, engagement rates, or media exposure.

  • Liaise with SBA staff & sponsors to ensure contracted deliverables are met.

  • Identify and secure sponsorship opportunities to support event funding when required.

  • Ability to develop and execute sponsorship proposals and agreements.

  • Sponsorship engagement, management & ongoing relationship building.

  • Work collaboratively with SBA staff to ensure positive outcomes from sponsorship packages and events.

  • Submit proposals of events inclusive of budget requirements and forecasts to the Business Manager for approval.

  • Organise, coordinate, and bring to life a variety of events, ranging from intimate community gatherings to large-scale fundraising occasions. From grassroots basketball programs to BigV game day activities & functions, each event is designed to foster connection, excitement, and support for the growth of basketball at every level.

  • Oversee all logistical aspects of events including venue selection, vendor management and on-site co-ordination ensuring smooth execution and troubleshooting any issues that may arise.

  • Ensure all events are delivered on time, within budget and meet expected standards.

  • Develop and curate engaging and sharable content tailored to each social media platform. 

  • Content scheduling: creating and maintaining a content calendar, ensuring a consistent posting schedule aligned with our strategy.

  • Fostering relationships with our online community, ensuring ethical communications values and brand guidelines are upheld at all times.

  • Support the implementation of marketing campaigns, including digital, email, and some print media.

  • Organise communications and media coverage for publicity for SBA milestones, events and activities.

  • Attend games and events to capture content and ensure Sunbury Basketball’s presence is effectively represented.

  • Promote sponsors, especially promoting special offers from sponsors. 

  • An understanding, or a willingness to learn, how websites and e-newsletters are managed and administered.

  • Game day & event management of operational activities. This includes but is not limited to; Rostering of all bar staff, coordinating staff, managing supplies, logistics, inventory management, customer service and ensuring compliance with legislation & OHS standards. 

  • Liaising with SBA stakeholders, playing groups, external stakeholders, coaching staff and sponsors.

  • Communication to SBA staff and key stakeholders.

  • Demonstrating effective communication techniques to encourage engagement with SBA stakeholders and members.

  • Liaising with SBA staff to ensure alignment on expectations and outcomes of sponsorship and events.

  • Undertaking administrative tasks as required to ensure efficient and compliance record keeping.

  • Providing monthly reports to the Business Manager advising of key outcomes and challenges.

  • Demonstrating behaviour consistent with the SBA values of    Accountability, Respect, Inclusivity, Integrity, Inspiration, Leadership.

  • All other duties as required and / or directed by the SBA Business Manager and Board that would be expected of this position description.


Knowledge, Skills & Abilities

  • Ability to organise and prioritise tasks, problem solve and ask questions when needing further clarification. 

  • Excellent communication skills, with a mature and professional approach to managing difficult and complex situations.

  • Dedicated, committed, hardworking team member who always displays enthusiasm. 

  • Self-motivated with an ability to manage own time effectively and provide timely responses to all stakeholders.

  • Proficient computer skills, including the ability to use Microsoft 365, Xero, Wix, PlayHQ, RefBook and intermediate Microsoft Excel skills. 

  • Proficient at organisation and administration skills. 

  • Flexibility, openness to change and proactive task completion and problem solving.

  • Ethical, honest, trustworthy and dedicated to the Association, ensuring the Association’s values are upheld at all times.

  • Commitment to identifying any issues whilst offering suggestions for opportunities to further grow the Association and its members into the future.

 

Qualifications

  • Previous sponsorship & events management experience.

  • Strong leadership, operational and people management experience.

  • Financial management experience in budgeting, revenue, expenses, planning, forecasting, controlling costs and inventory management.

  • Exceptional written and verbal communication and interpersonal skills.

  • Ability to maintain effective relationships with internal and external stakeholders. 

  • Strong attention to detail, organisational, time management and problem-solving skills. 

  • Proficient in MS Office applications & POS systems.

  • Excellent personal presentation.

  • Flexibility and availability to work.  

  • Driver’s License.

  • Current Working with Children’s Check.

  • RSA Certificate Responsible Service of Alcohol (RSA).
